We’ve written blogs about how to obtain a marquee hire quote in the past. Although much if not all, of the advice offered then is still valid now, the world and the way we operate has changed in recent times.
We thought we’d update our advice on getting marquee hire quotes and include some COVID/lockdown related specifics too.
What is the process for getting a marquee hire quote?
Enquiries usually start via email, contact form or over the telephone. We always prefer to have a friendly and informal chat with you over the phone before discussing potential costs. This way we can make sure that we fully understand what you want and that the estimate that we give you will be as accurate as possible.
If you choose to make your initial enquiry by phone, we’ll go over everything with you there and then, finishing the call by giving you an estimate based upon the details you’ve provided during the call.
If you contact us electronically, try to include as much detail in your message as possible. We’ll still call you back to fill in any gaps and to provide you with the estimate – so don’t forget to include your contact details!
What information will you want to know?
During our initial conversations we’ll look to find out some basic information about you and the event that you are planning.
This will include information such as:
- The approximate number of guests
- The type of event: Wedding, party or something else?
- Will there be dining and dancing, or just one or the other?
- Where the will event be held
- What type of surface will the marquee be on? Is it a lawn or hard standing for example?
- Whether you will need a caterers area within the marquee?
- Whether you would like to have luxury portable toilets?
- Will you want space for a dance floor, DJ or even a band?
Step two: The site visit
Once we’ve given you an estimate, assuming the initial figures meet your expectations, we’ll arrange to come to you/your venue to conduct a site visit (see virtual site visits). A site visit allows us to understand a little more about the event and to provide you with a written, fully itemised and accurate marquee hire quote.
During the site visit we’ll usually sit down with you and go over your event in detail. We’ll want to get to know you, to understand your personality and build a picture of the event that you are hoping to create.
We will also take a look at the potential site (or sites if there’s more than one) for the marquee. We’ll be able to advise on suitability, taking into account elements such as access for your guests, where the sun sets, time of year for your event. Importantly, we’ll also advise on other elements such as: access for our marquee installation teams and their vehicles, third party supplier access (bar companies, caterers etc.), access to electrical supply, access and optimal positioning for portable toilets and so on.
At the end of the site visit you’ll have seen sketches of your potential marquee layout, images from previous events that contain elements that you might like to apply to your marquee. Ultimately, you’ll have a pretty good idea of what you can expect us to deliver.
Shortly after the visit you’ll receive your fully itemised quotation, a birds-eye view marquee floor plan, any further information that you might need as well as information on next steps.
How to get a marquee hire quote during lockdown
With social and physical distancing measures in place it might seem that getting an accurate marquee hire quote will be impossible. We’ve created measures that allow us to conduct our site visits virtually, accurately and safely.

The initial enquiry stages are the same as usual. We’ll have an informal chat with you over the telephone and provide you with an estimate for your potential marquee hire. Following this we’ll arrange a time to carry out our virtual site visit.
During the virtual site visit we’ll carry out our usual ‘face-to-face’ consultation via a Skype, Zoom, Facetime or WhatsApp video call. Following that we’ll also be able to survey the potential marquee sites using the same technology in conjunction with services such as Google maps and Google earth.
At the end of the virtual site visit we’ll be able to provide you with a full and accurate marquee hire quote, exactly as we would have following a traditional site visit.
One of the great frustrations surrounding the situation with COVID-19 is the lack of clarity as to when it will come to an end and when things will ‘return to normal’.
The truth is that at the time of writing no one is able to say when this might be. In order to offer our clients and potential clients peace of mind, we’ve created a lockdown related offer for all marquee bookings made for the months of July, August and September 2020.
We’ll waive our usual deposit requirement. Instead offering you the chance to book a provisional party date with just a fully refundable £250 deposit.
And if social distancing guidance persists, leaving it likely to be in place on the date of your event, we’ll allow you to move it to an alternative available date with just two weeks’ notice and at no additional cost.
