2017 saw the introduction of our event coordination service, just one more way in which we can help ensure that your party or event runs smoothly and is an out and out success – and one that you can fully enjoy without any stress or worry!
It’s a service that many Inside Outside clients have enjoyed over the last few months and we thought we’d give you a glimpse of how we helped one couple enjoy their dream wedding day (and the day after!).
A stress-free wedding weekend in West Sussex
Mark and Amber’s July wedding reception was to take place in the grounds of the bride and groom’s home in West Sussex and Inside Outside was asked to provide the marquee. We installed a 25m x 15m frame tent with boarded flooring covered by a cream carpet. Window walls and glass sliding doors meant that guests could still enjoy the sun and beautiful garden views whilst inside the marquee.
The bride and groom had a clear idea of how they wanted the marquee to look and used our event coordination service to take care of all the details and ensure everything came together on the day. We set up a traditional wedding breakfast area for the guests, and large potted olive trees neatly connected the outside with the inside. The caterers were set up in a marquee extension attached to the main marquee and a stage and parquet dancefloor were provided for the evening entertainment and dancing. Hidden behind a reveal curtain (a simple way of adding a wow factor!) was a second marquee where we created a bar and chillout area with a circular wooden bar, sofas, chairs and coffee tables. The area then led out onto the garden terrace where we put barrel poseur tables – a neat way of incorporating an existing feature. And to avoid guests having to access the house itself, we set up portable bathroom facilities connected to the marquee via an awning, totally luxurious with hand-crafted oak and marble vanity units – and washroom attendants for the duration!
Attention to detail, military precision and lists – the true grit of a good event coordinator
On the day itself the months of careful planning came into action, from the precise timings when each supplier was to arrive on site to having a fan available to keep the wedding cake cool and in pristine condition, making sure the microphone was in the right hands for toasts and speeches and ensuring the photographer got all the group shots Amber and Mark wanted, right down to the challenge of making sure the littlest guests were armed and ready to throw confetti in the right place at the right time! For this particular wedding it meant organising and coordinating a day that involved numerous suppliers – hair and make-up artist, florist, bouncy castle, caterers, bar staff, children’s crèche service, photographer, wedding chauffeur, steel band, wedding cake, DJ, band – from 8.30am until midnight when guests left. And breathe! Or not, because the next day saw guests invited back for a pool party with barbecue and garden games.
And the result? Well, according to the bride: “Lucy was an invaluable help during and in the lead-up to our wedding weekend. The two-day affair for over 270 guests, including 55 kids, was a daunting undertaking. Lucy and her team helped with everything – from helping us find a great band and coordinating suppliers to getting stuck in with moving flowers during the wedding day and even helping the caterers get the main courses out when they were under pressure on timing, cleaning up broken glasses and being an extra pair of hands with anything that was needed. She managed to do a good job of making it look easy to deal with two very busy and – at times – rather difficult clients, and really helped to make everything run smoothly so that we could enjoy it. Thank you so much for a job well done!”
And that leaves very little for us to add, other than to say it’s all part of our event coordination service!
