Parties and events held outdoors are great if the weather chooses to be kind, but it can also be risky to rely on a forecast for dry and sunny, only to be faced with unexpected showers – it can have a serious impact on the success (or otherwise) of an event. And in terms of a corporate event, there is the added risk that the business objectives set out for that event will not be achieved. Good event organisers will plan for every eventuality so that things run smoothly whatever the weather may choose to do – which is exactly what our friends at MGN events did when they called Inside Outside a few months ago.
MGN events had been asked to provide full event management for a client’s corporate family fun day in early September. The company wanted to celebrate moving to its new UK headquarters by inviting employees and their families to a fun event that would run from early afternoon to late that night. MGN events has real expertise in planning and delivering exciting corporate events and, with 200 adults and 50 kids of all ages to satisfy, the team had planned plenty of fantastic activities, food and entertainment. But they were very aware that there had to be a wet weather contingency.
Enter Inside Outside and one of our marquees. A site visit identified that the best available area, given the space required for activities and other installations, wouldn’t be flat ground. We were presented with quite a complex challenge, which was overcome by building a stable platform to create a level surface on which we could then install a 18m x 12m marquee with a raised boarded carpeted floor. Clear wall panels and a clear roof meant that the inside still felt very connected to everything going on outside, so even though it was part of the contingency planning the marquee still felt like an integral part of the whole event – and no one missed out on the sun and blue skies that decided to show up on the day. A discreet heating system was installed, given the late end and lower temperature during the evening.
Marquees provide flexible space
Of course, it would be pointless to simply have a marquee available and not make use of it, so it was given a dual purpose. The main catering and bar were set up inside, along with picnic tables to create an informal dining area. It also proved an ideal base for a face painter, balloon modeller and popcorn maker.
Later in the evening, the other half of the marquee really came into its own. At one end we had built a raised area, complete with steps and safety rails. This part of the marquee featured black lined walls on two sides and black lined ceiling. As night fell, lighting transformed the area and created a club atmosphere, as well as putting the spotlight on a stage from where a live band and DJ would perform. The floor filled with dancers and anyone preferring to stay outside could still feel involved thanks to the clear marquee wall.
The event finale was a spectacular firework display. Again, thanks to forward thinking and the use of clear walls and ceiling, guests could still enjoy watching the display from within the marquee.
